X-Cart Quickbooks (Online) addon Installation Instructions

Step 1: Enable addon`

Go to the admin panel Click My addons search “X-Cart Quickbooks Online” you can see the module and switch ON the module and Click Save changes button.

 

Step 2: Existing data synchronization:

If you want to start fresh, I.e only new orders, customers, products need to be synchronized effectively from the date of this module configured, you can skip this step. Otherwise, please contact our support team at support@mercuryminds.com to sync the data one time for you. Of course at free of cost as part of our module support (Only one time). However, we highly recommend this to be done.

What is the one-time Data migration process:

Case 1: If you have already existing customers in X-Cart, that’s not synchronized into QuickbooksOnline, then you want to import those customers into QuickbooksOnline first time.

Case 2: If you have already existing customers in X-Cart, partially customers are imported into QuickbooksOnline, then you want to import the missing Customers.

Case 3: If you have already existing Products in X-Cart, that’s not synchronized into QuickbooksOnline, then you want to import those Products into QuickbooksOnline first time.

Case 4: If you have already existing Products in X-Cart, partially Products are imported into QuickbooksOnline, then you want to import the missing Products.

Case 5: If you have already existing orders in X-Cart, that’s not synchronized into QuickbooksOnline, then you want to import the missing orders

Case 6: If you have already existing orders in X-Cart, partially orders are imported into QuickbooksOnline, then you want to import the missing orders

Step 3: Settings:

   Go to the My Add-ons page search “XCart Quickbooks Online” 

   Click your addon then click settings option

     you can see the settings page and list of options

Step 4: Quickbooks Intuit Developer account

  • Get authorization code
  • Follow the steps to get listed keys

1: Select app you can see the list of created app production/sandbox 

     ->choose any one app production/sandbox mode

OAuth Keys

    Copy the Client ID and Client Secret values

Paste to the Addon settings page ClientID and ClientSecret field

Next step back to OAuth 2.0 Playground choose Scopes under Accounting checkbox

Next click Get authorization code

     ->you can see below pop choose your account then click Next button

2: Get OAuth 2.0 token from auth code

     -> Copy Realm ID value and click Get tokens button

Paste to the Addons settings page QBORealmID field

3: Make API calls (optional)

     Click Get Company info button

4: Refresh access token (optional)

     Copy Refresh token value

Paste to Add-ons settings page RefreshTokenKey field

Step 5: you have to fill the remaining field in the addons settings page

  • QBO Mode: choose production / development

                Production for live 

                Development for testing.

  • Limit the no.of products synchronized during execution to prevent flooding

                Example: 25 

  • Limit the no.of customers synchronized during execution to prevent flooding

                 Example: 25

  • Limit the no.of orders synchronized during execution to prevent flooding

                 Example:25

  • Enable Products synchronization

                 If enabled. ‘Products sync’ work

                If disabled, ‘Products sync’ does not work

  • Enable Customers synchronization

                 If enabled, ‘Customers sync’ work. If disabled, ‘Customers sync’ does not work.

  • Enable Orders synchronization

                 If enabled, ‘Orders sync’ work

                 If disabled, ‘Orders sync’ does not work

  • Enable Stock synchronization

                 If enabled, ‘Stock sync’ work

                 If disabled, ‘Stock sync’ does not work

  • Choose Stock synchronization

                If select “Quickbooks to X-Cart” stock update to QuickBooks to X-Cart 

                If select “X-Cart to Quickbooks” stock update to  X-Cart to Quickbooks

                Finally, click the “submit” button to save all the entered values successfully.

Step 6: Go to the Admin end click Quickbooks Online menu

  • You can see two sets of menus then click QBO Automation settings menu
  • You can see below page
  • You must have to set three crons jobs in the server (you can take from your hosting team in this regard if you are not familiar with crontabs utility)
    • Customers and orders sync jobs for customers and orders data import to the QuickBooks online account
    • Products Sync jobs for Products data import to the QuickBooks online account
    • Stocks Update sync jobs for products stock value update both X-Cart to QuickBooks online and Quickbooks to X-Cart

Step 7: Go to the Admin end click Quickbooks online menu then click QBO Sync Report

  • You can check Customers, Products, Orders, and Stock sync jobs log details here
